At a glance

Accounting outsourcing at a glance

  1. Who it suits: Companies, LLPs, partnership firms, proprietors, NGOs and start-ups that want accurate books without hiring and supervising a full in-house accounts team.
  2. What we do: Day-to-day bookkeeping, bank reconciliation, receivables and payables, GST and TDS-ready ledgers, a monthly MIS report and year-end finalisation.
  3. How it works: You share bills, bank statements and sales data by a secure upload or in your own cloud software; we post, reconcile and report on a fixed monthly calendar.
  4. The result: Books that agree with your GST returns, TDS returns and bank balances, so the audit, tax return and bank renewal go through without last-minute rework.

Most small and growing businesses in Kochi do not fall behind on accounts because they lack software. They fall behind because bills arrive late, the accountant leaves, bank entries pile up unreconciled and GST credit is claimed on invoices that never reached the books. By March, the year-end becomes a rescue job.

Accounting and bookkeeping outsourcing with T K Chandy & Associates replaces that cycle with a monthly routine run by a qualified team at our Kakkanad office. We record your transactions, reconcile every bank account, keep customer and supplier ledgers clean, match your books with GSTR-1, GSTR-3B and GSTR-2B, account for TDS correctly and send you a short MIS report each month. Because the same firm handles GST, TDS compliance and audit, the figures stay consistent from the first entry to the filed return.

Choosing a model

Should You Outsource Accounting or Hire In-House?

Many Kochi businesses use a mix: a junior staff member collects documents and raises invoices, and we do the accounting, reconciliation and review. The comparison below helps you decide.

PointIn-house accountantOutsourced to a CA firm
Continuity when staff leaveNo – work stops until a replacement is trainedYes – a team covers the work and keeps the files
Review by a chartered accountantUsually only at year endYes – every month before the MIS is released
GST, TDS and audit knowledgeDepends on the individualBuilt in – the same firm handles compliance
Cost structureSalary, PF, ESI, leave, training and softwareFixed monthly fee agreed in writing
Daily presence at your officeYesNo – remote, with scheduled visits where needed

For businesses that need someone at the counter every day, we can also review and supervise the work of your in-house accountant instead of taking over the full books.

Our process

How Does Outsourced Bookkeeping Work With Us?

  1. Step01

    Review and onboarding

We study your existing books, software, chart of accounts and pending backlog, then agree the scope, monthly calendar and fee in an engagement letter.

  2. Step02

    Clean-up of opening balances

Where needed, we bring the books up to date, reconcile banks and GST, and confirm opening balances before routine monthly work begins.

  3. Step03

    Document flow

You share invoices, bills, bank statements and payroll data each week or month through a shared folder or your cloud accounting software.

  4. Step04

    Monthly posting and reconciliation

We post all transactions, reconcile banks, GST and TDS, and send a short list of open queries rather than many separate emails.

  5. Step05

    Review and MIS

A chartered accountant reviews the month's accounts and we send the MIS pack, usually within the first fortnight of the following month.

  6. Step06

    Year-end close

We pass closing entries, prepare schedules and financial statements, and work with your auditor until the audit is signed.

Accounting outsourcing in Kochi: accountant sorting invoices and bank statements for monthly posting

Getting started

What Documents Do We Need Each Month?

A steady flow of these documents keeps the books current and the monthly fee predictable:

  • Sales invoices and credit notes
  • Purchase and expense bills
  • Bank and credit card statements
  • Payment gateway and UPI settlement reports
  • Petty cash vouchers and cash book
  • Payroll register and salary statement
  • Loan statements and EMI schedules
  • GST portal data (GSTR-2B) or login access
  • TDS challans and certificates received
  • Stock summary or closing stock figures
  • Fixed asset purchase and sale invoices
  • Contracts, rent and lease agreements

Software and secure working

Which Accounting Software Do We Work With?

We work in the software you already use, so you keep ownership of your data and your history. Our team regularly works on packages such as Tally Prime, Zoho Books and other cloud or desktop accounting systems and ERPs. These are examples only; we have no partnership with any software vendor and will recommend a package only if your current one no longer fits.

Remote and cloud workflow. With cloud software, we post directly into your company file and you see the same live numbers. With desktop software, we agree a secure method of data exchange and backup. Either way, you approve payments and banking yourself; we do not need to operate your bank accounts.

Data security and legal requirements. Access is limited to the team on your engagement, client data is kept confidential under ICAI ethics, and we stop using any shared access when the engagement ends. Companies must keep books that can be accessed in India, with a daily backup on servers located in India where books are kept electronically, and use software that records an audit trail (edit log) that cannot be disabled. We check these points for you at onboarding.

Worked example

Example: Monthly Books for a Kochi Trading Company

A family-run building materials distributor in Ernakulam had about 600 invoices a month, one accountant and books that were four months behind. GST returns were being filed from sales registers, not from the books.

  • We cleared the backlog in six weeks and reconciled three bank accounts and the cash book.
  • We matched purchase bills with GSTR-2B and found input tax credit claimed on invoices that suppliers had not reported, which was reversed before the annual return.
  • We set up supplier-wise TDS tracking and a receivables ageing report that the owner reviews every Monday.
  • From the following month, the MIS pack showed gross margin by product line and overdue customer balances.

At year end, the accounts were finalised within weeks of 31 March and the tax audit started on time, with books, GST returns and TDS returns agreeing.

Fees and timing

How Much Does Accounting Outsourcing Cost in Kochi?

There is no standard rate. The monthly fee depends on the number of transactions and invoices, the number of bank accounts and branches, whether you have inventory, GST and TDS volumes, foreign currency transactions, how fast you need the MIS, and the condition of the books when we start. A backlog clean-up, if needed, is quoted separately. We quote a fixed monthly fee in writing after reviewing a sample month of your transactions, and review it once a year if your volumes change.

A typical onboarding takes two to four weeks. Monthly accounts are usually closed within the first fortnight of the following month, ahead of the GST and TDS deadlines in our compliance calendar.

Frequently asked questions

Accounting and bookkeeping outsourcing in Kochi – frequently asked questions

Short answers to the questions clients in Kochi ask us most. Still unsure?

Talk to our team
01.What is accounting outsourcing?

Accounting outsourcing means a professional firm keeps your books instead of, or alongside, an in-house accountant. The firm records transactions, reconciles bank accounts, keeps ledgers, prepares reports and closes the year, while you keep control of approvals and payments.

02.Is it safe to outsource bookkeeping to a CA firm?

Yes, if access is controlled. Chartered accountants are bound by ICAI confidentiality rules. We limit access to the team on your engagement, work in your own software where possible, and do not need to operate your bank accounts.

03.Do you work on Tally Prime and Zoho Books?

Yes. Our team works on Tally Prime, Zoho Books and other common desktop and cloud accounting packages. We usually continue in your existing software so you keep your data and history; these are examples, not vendor partnerships.

04.Can you keep our books remotely?

Yes. Most clients share documents through a secure folder or give us access to their cloud accounting software. We visit or meet at our Kakkanad office when needed, for example at onboarding and year end.

05.How often will we receive reports?

Monthly. After each month is closed and reviewed, we send an MIS pack with the profit and loss, balance sheet, cash position, receivables and payables. Weekly cash or receivables reports can be added.

06.Can you clear a backlog of unwritten books?

Yes. We first review how far behind the books are, then clear the backlog, reconcile banks and GST, and confirm opening balances. Backlog work is quoted separately from the monthly fee.

07.Do you also file GST and TDS returns?

We can. The books we keep are matched with your GST and TDS data, and our GST and TDS teams can file the returns from the same figures. You can also keep filings with another consultant if you prefer.

08.How long must a company keep its books of account?

Under section 128 of the Companies Act, 2013, books must be preserved for at least eight years. Under GST, accounts must be retained for 72 months from the due date of the annual return for that year.

09.What is the audit trail requirement for accounting software?

Companies must use accounting software that records an edit log of every change, with the date, and the audit trail cannot be disabled. Auditors report on this, so we check your software settings at onboarding.

10.Is bookkeeping outsourcing suitable for a small proprietorship?

Yes. Even a small trader or professional benefits from monthly reconciled books, especially if GST-registered or close to the tax audit limit. The fee is lower for low transaction volumes.

11.Can you work with our in-house accountant?

Yes. Many clients keep a staff member for invoicing and document collection, and we handle posting, reconciliation, review and reporting, or simply review and correct the in-house accountant's work each month.

12.Who prepares the year-end financial statements?

We do, as part of the service – closing entries, depreciation, provisions, schedules and the financial statements. If we keep your books we cannot also be your statutory auditor, so another firm audits them.

13.How do you charge for accounting outsourcing in Kochi?

We quote a fixed monthly fee in writing, based on your transaction volume, bank accounts, inventory, GST and TDS work and reporting needs. We review a sample month before quoting.

14.Do you keep books for NRIs and foreign-owned companies in Kerala?

Yes. We keep books for NRI-owned businesses and Indian subsidiaries of foreign companies, including foreign currency transactions and group reporting packs, and coordinate with overseas accountants where needed.
